Admitting a patient to a bed links a de-identified patient record to that bed and starts real-time monitoring and alert routing. Discharging a patient closes the record and marks the bed for turn-around.
Sentalis never stores patient names, dates of birth, addresses, or other personally identifiable information. When you enter a hospital MRN at admission, it is hashed and discarded. Only the resulting de-identified patient code is saved and displayed in the dashboard.

Admitting a patient

You can start an admission from either the ward detail page or the bed detail page.

Open the bed

From the Ward Detail page, click the bed card you want to admit a patient to. This opens the Bed Detail page.If the bed is vacant, you will see an Admit patient button in the left panel. Click it to open the admission form.

Enter the hospital MRN

Type the patient’s hospital MRN into the Hospital MRN field. The MRN is hashed immediately and only the resulting patient code is stored — the MRN itself is never saved.If you do not have an MRN to hand, click Auto to generate a temporary code for this admission.

Enter patient details

Fill in the required fields:
  • Age — the patient’s age in years
  • Sex — select Female, Male, Other, or Undisclosed
  • Admitting category — select the clinical specialty that best describes this admission (Medical, Surgical, Cardiology, Oncology, Orthopaedics, Neurology, Paediatrics, Maternity, Mental Health, Palliative, Rehabilitation, or Other)
  • Attending doctor — the name of the responsible clinician (optional)
  • Expected length of stay — estimated stay in hours (optional)

Set the risk score

Use the slider or the preset buttons to set the patient’s initial risk score from 0 to 100. The score is colour-coded:
  • Low (0–39) — green
  • Medium (40–69) — amber
  • High (70–89) — orange
  • Critical (90–100) — red
You can update the risk score at any time from the bed detail page.

Add clinical notes (optional)

Enter any relevant clinical context in the Clinical notes field. Do not include names, dates of birth, MRNs, addresses, or contact details — any detected personal information will be automatically redacted before saving.

Confirm the admission

Click Admit to confirm. The bed status updates immediately and monitoring begins. The bed card in the ward grid will display the new patient code and status.
Do not enter real patient names or dates of birth in any field. Sentalis is designed to be de-identified by default. Use the MRN field only — it is hashed and discarded on submission.

Discharging a patient

Discharge a patient when they leave the ward, are transferred, or are deceased.

Open the bed detail page

Navigate to the bed you want to discharge from, either via the ward grid or the sidebar.

Click Discharge

Click the Discharge button at the top of the bed detail page. The discharge dialog opens.

Select a reason and destination

Choose the reason for discharge:
  • Home — patient is being discharged home
  • Transfer — patient is moving to another ward or facility
  • Deceased — patient has passed away
  • Other — any other reason
Optionally, select a destination (Home, Other ward, or Other facility).

Confirm

Click Confirm discharge. The patient record is closed and the bed enters a 2-hour cooldown period before it becomes available for a new admission.
The 2-hour post-discharge cooldown gives your team time to clean and prepare the bed before the next patient is admitted. The bed will show as unavailable during this period.

About patient codes

Every patient admitted through Sentalis is assigned a de-identified code (e.g. AB123456). This code:
  • Is derived from the MRN in a way that cannot be reversed to reveal the original MRN
  • Is the only patient identifier Sentalis retains after admission
  • Appears on the bed card, patient card, alerts, and notes
  • Persists for the duration of the admission and is removed on discharge
If you need to link a patient code back to a real patient, refer to your facility’s patient management system using the original MRN you entered at admission.
